This website is maintained by David Gibson on behalf of the family of Susan Spain-Dunk. This notice explains how personal information associated with the website is handled.

If you contact us using the website’s contact form, we will receive the information that you provide, which may include your name, email address and message. The contact form is provided by Formspree, which processes submissions on our behalf, filters them for spam and sends notifications to us. Formspree may also process associated technical information, such as your IP address, browser information, access time and referring page, for security and service operation.

If you contact us directly by email, we will receive your email address and any name, message, documents or other information that you choose to provide.

If you ask to receive occasional email updates, we will keep your name, if provided, your email address, and a record of when and how you subscribed.

The website’s hosting and security provider may also process technical information when you visit the site, such as your IP address, browser and device information, requested pages, and the date and time of access. This information is used to deliver and protect the website.

Please do not send confidential, financial, medical or other sensitive personal information through the contact form. If you need to provide sensitive information, please contact us first so that we can agree on an appropriate way to receive it.

We may use personal information to:

  • respond to enquiries;
  • investigate information about Susan Spain-Dunk, her life and her music;
  • maintain the website and associated historical archive;
  • consider offers of scores, recordings, photographs or other material;
  • record the source, ownership and permitted use of contributed material;
  • send occasional email updates about Susan Spain-Dunk, her music, new material added to the website, performances, recordings and related news, where you have asked to receive them; and
  • maintain the security and proper operation of the website, including identifying and filtering spam or misuse.

We will not use contact details for unrelated marketing, and contacting us does not automatically add you to the mailing list.

We process correspondence, contact-form submissions and related information where this is necessary for our legitimate interests in responding to enquiries, maintaining the website, preserving information about Susan Spain-Dunk and protecting the website from spam and misuse.

We rely on your consent to keep your details on the mailing list and send you email updates. You may withdraw your consent at any time by following the unsubscribe instructions in an email or by contacting us. Withdrawing consent will not affect processing that took place before it was withdrawn.

Where you give permission for particular documents, photographs, recordings or other material to be used, we may retain information about that permission for as long as the material is used or the permission remains relevant.

Messages may be shared with members of Susan Spain-Dunk’s family or with relevant researchers, musicians, performers, publishers or archive holders where this is necessary to respond to an enquiry or assess information that has been submitted.

We will not sell personal information or share the mailing list with other organisations for their own marketing.

The website is hosted by Cloudflare, which processes technical information needed to deliver and protect it.

The website’s contact form is provided by Formspree, Inc. Formspree processes and temporarily stores contact-form submissions, including the information entered in the form and associated technical information, in order to filter spam and deliver the submissions to us. Formspree’s services are hosted in the United States. Formspree states that it uses Standard Contractual Clauses as a safeguard when acting as a data processor for information transferred outside the United Kingdom or European Economic Area. Email correspondence and email updates are handled using Google’s Gmail service. Cloudflare, Formspree and Google may process information outside the United Kingdom, subject to their applicable data-protection safeguards.

Newsletter recipients’ email addresses will not be visible to other recipients.

We may also disclose information if required by law.

Routine correspondence will normally be deleted within two years after the enquiry has been concluded.

Contact-form submissions are temporarily stored in our Formspree account. Under Formspree’s current free plan, submission history is retained there for 30 days. A submission delivered to our email account may be retained as correspondence in accordance with the periods described in this notice.

Messages identified as possible spam may remain temporarily available in Formspree so that we can check whether a genuine message has been incorrectly classified. They will not be retained by us unless needed for security purposes or found to be genuine correspondence.

Information that contributes to the historical record, establishes the source or ownership of material, or records permission for its use may be kept for longer while it remains relevant to the website or archive.

We will keep mailing-list information while you remain subscribed. We will periodically review the mailing list and remove information that is no longer needed.

If you unsubscribe, we may retain the minimum information necessary to record that you have opted out and ensure that you are not added to the mailing list again.

Technical information is retained in accordance with the settings and retention arrangements of our hosting, security and form-processing providers.

Depending on the circumstances, you may have rights over your personal information, including rights to ask for access, correction or deletion, to restrict or object to its use, or to withdraw consent.

You can unsubscribe from email updates at any time by following the instructions in an email or contacting us. There is no charge for unsubscribing.

We do not currently use advertising or optional analytics cookies.

Cloudflare may use strictly necessary technologies to deliver and protect the website. Formspree may process technical information associated with a form submission in order to operate the contact form and protect it from spam or misuse.

If we introduce analytics, CAPTCHA services or other non-essential technologies, we will update this notice and, where required, ask for consent.

We may update this notice if the website or the way we handle information changes. The date at the top of the page shows when it was last updated.
